Article I: Name of the Association
The name of this organization shall be Our Lady of Mt. Carmel High School Alumni Association.
Article II: Purpose
The purpose of the association is to organize the interest and resources of members in support of Our Lady of Mt. Carmel High School; to keep alumni informed of the school’s activities and programs; and to provide and facilitate mutual exchange of ideas between the association and the school.
Article III: Membership
- Full membership will be granted to:
- Holders of a diploma from Our Lady of Mt. Carmel High School
- Students who pursued courses at Our Lady of Mt. Carmel High School.
- Associate memberships may be granted to non-alumni selected from the following groups:
- Current and former members of the faculty
- Current and former members of the school board
- Current and former officers of the administration
- Others who by reason of their assistance, support and advice to the school and the association are elected to membership by the board of directors.
Article IV: Directors
- The alumni association shall be governed by a board of directors consisting of (6-12) alumni elected and the chairs of active committees by the association at its annual meeting or by mail-in vote. Each member shall be elected for a term of three years, renewable once, with the terms staggered so that each year four new members are elected to the board. Vacancies for a non-expired term shall be filled by majority of the remaining members of the board.
- The board of directors will meet four times a year to establish the programs of the association and set goals for carrying forward the work of the association.
- A quorum of the board of directors shall consist of one more than half the total board membership, e.g., a board with 12 members would have a quorum of 7.
- The board of directors will elect officers of the association.
Article V: Pastor
The Pastor of Our Lady of Mt. Carmel parish shall be an ex-officio member of the board of directors of the alumni association.
Article VI: Director of Institutional Advancement
The Director of Institutional Advancement shall be appointed by the Pastor of the parish and shall be an ex-officio member of the board of directors of the alumni association.
Article VII: Alumni Director
The alumni director shall be appointed by the school administration and shall be an ex-officio member of the board of directors of the alumni association.
Article VIII: Officers of the Association
- The officers of the association shall be a president, vice-president, secretary and treasurer.
- The officers of the association shall serve for one year from July 1 through June 30 of each year. Any officer must have served at least one year as an "at large" board member prior to becoming an officer.
Article IX: Duties of the Officers
- The president shall preside at all meetings of the board of directors and the alumni association, and shall appoint the committees responsible for maintaining liaison and communication between the association and the administrative offices of the school.
- The vice-president shall serve in the absence of the president and shall perform such other duties as will be helpful to the maintenance of a strong and effective alumni association.
- The secretary shall take the minutes of all board meetings and meetings of the association and shall provide such minutes to the alumni director.
- The treasurer, following the archdiocesan protocol, will have responsibility of finances.
Article X: Committees
- There shall be seven standing committees of the board. Non-board members may serve on the committees. Additional committees may be established as needed.
- Alumni Development Committee. In tandem with the director of institutional advancement, this committee shall be responsible for the organization of the alumni of Our Lady of Mount Carmel High School. Such as to obtain annual contributions to the annual fund, and to assist Our Lady of Mount Carmel High School in such other campaigns for funds, as may be necessary from time to time.
- Student Recruitment Committee. In tandem with the director of admissions, this committee will develop a program to explain to prospective students/families the education that may be obtained at Our Lady of Mt Carmel High School. The committee will organize the alumni for the purpose of assisting in obtaining adequate numbers of students of the quality and character desired by Our Lady of Mt Carmel of High School. It will assist the school administration in maintaining a continuing recruitment program.
- Communications Committee. This committee will aid the director of public relations in reviewing and planning alumni publications throughout the year. Communicating the story of the school to newspapers, radio, television and the public, and work with the school development office to provide a continuous flow of news and information concerning the activities of Our Lady of Mt Carmel High School.
- Records and Recognition Committee. This committee will assist in maintaining accurate and up-to-date records of alumni and the achievements of the alumni. Each year the committee will recommend to the board of directors outstanding alumni to receive the NCEA Distinguished Graduate Award for service to their profession, community and to the school. The committee will keep a record of all outstanding alumni and seek advice and suggestions from members of the association regarding potential alumni who should be recognized for their service.
- Reunion & Events Committee. This committee will work with reunion year classes to coordinate reunion activities, plan general activities for all alumni and assist with arrangements for alumni homecoming and similar events.
- Nominating Committee. This committee will prepare a list of candidates willing to stand for election to the board at the annual meeting or the designated time for an election. The list of candidates will be presented to the board for approval at least two months prior to the election.
- Executive Committee. This committee will be compromised of the officers of the association, the director of alumni, plus all standing committee chairpersons. The executive committee will meet between regular board meetings to transact such business as requires action. At its next regular meeting, the board must ratify any action so taken.
Article XI: Meetings
The alumni association shall meet once a year and as may be needed at the request of a majority of the board of directors. At special meetings only those items specified in the call for the meeting shall be transacted.
Article XII: Association Year
The fiscal year of the association will begin July 1 and end on June 30 of each year.
Article XIII: Amendment by-laws
These by-laws may be amended by the affirmative vote of two-thirds of the members present at any annual or special meeting of the association
